At the 2021 Inaugural Annual General Meeting of the Society, attendees were advised of the Committee's intention to seek members' approval to incorporate The Oxford Society in Victoria (as legislated under the Associations Reform Act 2012). A general meeting of members was held in 2023 and the recommendation to incorporate was approved overwhelmingly. In January 2024, approval was obtained from Consumer Affairs Victoria and the Society became incorporated as 'The Oxford Unversity Society in Victoria Inc', registration number A0122178T.

Rules of the society

In anticipation of this development, a sub-committee of the Committee formulated a set of Rules. These rules were reviewed by a legal advisor and approved by the Committee in 2021. The Rules largely reflect the Model Rules provided under the Act, with some modifications that it was considered met the particular needs of our Society. use of data and member privacy

The Associations Reform Act requires any society, club or association to maintain a register of members, which includes amongst other personal data, member data that is available for inspection by any member of the club or society. In order to meet this requirement and to regulate how member data is used, our Society has developed a Privacy Policy, which sets out what data is maintained by the Society and how it is used. With effect from the Inaugural Annual General Meeting held on December 1st 2021, all documentation relating to General Meetings, including meeting minutes, Committee reports and details of Committee appointments will be made available for review by members.
